Job Summary
Position is responsible for providing professional administrative support to regional Nurse Managers of INVIVA. The Administrative Assistant uses expert time management and organization skills to execute data entry, electronic filing, data reporting, and scheduling/planning.
Specific Responsibilities
• Accesses and uses multiple software systems in the course of their duties including Outlook, MS Teams, Salesforce, Kronos, SAP, Workday, My Learning and other McKesson Canada resources.
• Requests and gathers nurse availability three months in advance and drafts clinic monthly schedule for applicable Nurse Manager approval; enters approved clinic schedules into Salesforce and communicates to nursing teams that schedules are posted; makes amendments on request of the Nurse Manager(s).
• Tracks additional payroll requests and enters hours into Kronos as applicable for nurse vacation, approved sick time, or approved overtime.
• Reviews the clinic schedules for unbooked blocks in the following week and consults with applicable Patient Care Coordinator to confirm tentative bookings, and reports need for cancelation or reduced nurse hours to the Nurse Manager(s) for action.
• Electronically files quality and compliance files in applicable folders on the shared drive and updates corresponding logs or spreadsheets.
• Maintains ongoing databases and contact lists for the region on the shared drive.
• Assigns training in the Learning Management System and external vendor portals (Pfizer, BMS), and pulls training status reports biweekly for each Nurse Manager.
• Completes Workday tasks on behalf of the Nurse Manager(s) and pull Worker Certification report monthly for each Nurse Manager.
• Submits service desk tickets, HR/payroll tickets or other internal requests as needed.
• Requests nurse access to external vendor portals (Bioadvance, EZ Reporter, Health Loyalty, BSRX)
• Book travel and accommodations on behalf of the Nurse Manager(s) in SAP Concur.
• Completes expense entries in SAP for nurses and Nurse Managers.
• Liaises with physician offices for clinic on-call information and ensures clinics have upcoming month’s rotation.
• Assists in meeting coordination and execution and takes minutes as directed, including staff meetings, employee growth meetings, new hire onboarding dates, etc
• Completes other administrative tasks as assigned. General Responsibilities

• Completes work efficiently and accurately with high attention to detail.
• Maintains up-to-date professional and technical knowledge by completing/attending educational workshops.
• Maintains a cooperative relationship among nursing and partner teams through effective communication, timely response to requests, actively building rapport and participating in team dynamics.
• Contributing to team effort and corporate goals.
Minimum Qualifications
• Minimum 2 years administrative experience in healthcare setting preferred Key Competencies
• Expert computer skills with experience using such applications as Outlook, Excel, and Adobe
• Strong organization and time management skills
• Professional written and verbal communication
• Ability to work autonomously and proficiently from home office or local clinic
• Ability to work in a dynamic and rapidly changing environment

Responsabilités spécifiques
- Accéder à plusieurs systèmes informatiques et en faire usage dans le cadre de ses fonctions, notamment Outlook, MS Teams, Salesforce, Kronos, SAP, Workday, My Learning et d’autres ressources de McKesson Canada.
- Demander et recueillir les disponibilités des infirmières/infirmiers trois mois à l’avance et préparer l’horaire mensuel des cliniques pour approbation par le(s) gestionnaire(s) des soins infirmiers; saisir les horaires approuvés dans Salesforce et communiquer aux équipes infirmières que les horaires sont publiés; effectuer les modifications requises à la demande du ou des gestionnaires.
- Assurer le suivi des demandes de paie supplémentaires et saisir les heures dans Kronos, selon le cas, pour les vacances, les congés de maladie approuvés ou les heures supplémentaires approuvées.
- Examiner les horaires des cliniques afin d’identifier les plages non planifiées pour la semaine suivante, collaborer avec le coordonnateur des soins aux patients concerné pour confirmer les réservations provisoires et signaler au(x) gestionnaire(s) des soins infirmiers toute annulation potentielle ou réduction des heures infirmières requises.
- Classer électroniquement les documents liés à la qualité et à la conformité dans les dossiers appropriés sur le lecteur partagé et mettre à jour les journaux ou feuilles de calcul correspondants.
- Maintenir à jour les bases de données et les listes de contacts régionales sur le lecteur partagé.
- Attribuer les formations dans le système de gestion de l’apprentissage ainsi que dans les portails de fournisseurs externes (Pfizer, BMS) et produire des rapports de suivi de la formation toutes les deux semaines pour chaque gestionnaire des soins infirmiers.
- Effectuer des tâches dans Workday au nom du ou des gestionnaires des soins infirmiers et extraire mensuellement le rapport sur les certifications des employés pour chacun d’eux.
- Soumettre des billets au centre de services, des demandes aux RH/paie ou toute autre demande interne au besoin.
- Demander l’accès des infirmières/infirmiers aux portails de fournisseurs externes (Bioadvance, EZ Reporter, Health Loyalty, BSRX).
- Réserver les déplacements et l’hébergement pour le ou les gestionnaires des soins infirmiers via SAP Concur.
- Saisir les dépenses dans SAP pour les infirmières/infirmiers et les gestionnaires des soins infirmiers.
- Assurer la liaison avec les cabinets médicaux pour les informations de garde en clinique et veiller à ce que les cliniques disposent de la rotation du mois à venir.
- Aider à la coordination et au déroulement des réunions et prendre les procès-verbaux au besoin, incluant les réunions d’équipe, les rencontres de développement des employés, les dates d’accueil des nouvelles recrues, etc.
- Effectuer toute autre tâche administrative assignée.

Qualifications minimales
- Minimum de 2 ans d’expérience en administration, idéalement dans le secteur de la santé.
Compétences clés
- Excellentes compétences informatiques, incluant une expérience avec des applications telles qu’Outlook, Excel et Adobe
- Solides compétences en organisation et en gestion du temps
- Excellentes aptitudes en communication écrite et verbale, dans un contexte professionnel
