The Executive Assistant provides administrative support to the VP, Sales Operations & Governance, VP, Sales Effectiveness and other members of the direct leadership team with daily requirements. Main duties include managing leaders’ agenda, planning and organization of meetings and trips, including all logistics (reservations, travel, and expense reports, etc.) Duties include organizing schedules, coordinating information and being in contact with all persons concerned. Prepare presentations and validates information. At times acts as the liaison between the leaders, the company’s other departments

Provides broad and complex administrative support to two senior executives- VP and SVP. Serves as an extension of the leaders in a manner that ensures the most efficient use of their time and maintains positive, effective, and collaborative working relationships across the organization and with customers. Executes special or continuous research and data analysis tasks.  Analyzes problems, determines approach, compiles, and analyzes data and prepares reports/ recommendations.  Coordinates activities between departments and outside parties.  Contacts company personnel at all organizational levels to gather information and prepare reports.  Work is generally of a critical or confidential nature.

Key Responsibilities

Specific Responsibilities

  • Maintain and update the executives’ calendars, ensuring timely reminders and seamless scheduling of meetings and appointments.

  • Coordinate comprehensive travel arrangements, including flights, accommodations, dining, and ground transportation.

  • Plan and organize meetings by securing venues, arranging catering, and managing logistics as needed.

  • Prepare detailed meeting agendas and ensure all necessary materials are compiled and distributed in advance.

  • Accurately transcribe meeting notes and track follow-up actions to ensure timely execution.

Administrative Duties

  • Assist in the creation, editing, translation (as needed), and production of high-quality presentations and documents.

  • Manage sensitive and confidential information with discretion and professionalism.

  • Support the organization and upkeep of both physical and digital filing systems.

  • Archive and categorize documents accurately to ensure easy retrieval and compliance with record-keeping standards.

  • Prepare and submit expense reports for approval, ensuring accuracy and adherence to company policies.

Reporting Process & Coordination of Activities

  • Prepare, update, and distribute end-of-month and quarterly reports to support business tracking and decision-making.

  • Coordinate onboarding logistics for new hires, including timely requests for workspace setup, IT equipment, office supplies, and mobile devices, as well as organizing orientation sessions.

  • Assist in managing team schedules, including tracking vacations, sick leave, and other absences, and ensure appropriate coverage during employee time off.

Minimum Requirement

Typically requires 6+ years of related experience.

Education

  • HS Diploma, Vocational Training, Professional Certification or Equivalent.

  • Bachelor’s degree in relevant field or equivalent experience preferred

Critical Skills

  • Minimum of 5 years’ experience supporting SVPs

  • Advanced proficiency with MS Office (Outlook, Word, Excel. PowerPoint, One Drive and SharePoint across devices)

  • Advanced proficiency with Webex Conference and Microsoft Teams tools across multiple devices

  • Experience working in a dual project-based and task-oriented role

  • Experience using Concur software for travel arrangements

  • Event planning experience (small events)

Additional Skills

  • Ability to handle confidential information and exercise sound judgment is critical

  • Attention to detail

  • Ability to work under general direction, on multiple tasks with demanding timelines 

  • Strong organizational and time management skills are necessary to prioritize assignments and multi-task

  • Professional, calm demeanor and presentation, with strong interpersonal skills, along with excellent verbal and written communication skills

  • Strong sense of urgency 

  • Collaborative and team-based approach to problem solving

  • Ability to anticipate needs and proactively solve problems

Working Conditions

Environment (Office, warehouse, etc.) –

  • Hybrid Office Environment. 

  • Required to attend offsite meetings as requested.

Physical Requirements (Lifting, standing, etc.) –

  • General Office Demand

The pay range shown below is aligned with McKesson's pay philosophy, and pay will always be compliant with any applicable regulations. Our Base Pay Range for this position

$31.80 - $53.00
