La personne occupant ce poste joue un rôle clé dans la continuité des opérations d’approvisionnement pour les établissements hospitaliers et institutionnels du Québec. Elle est responsable d’assurer un suivi rigoureux des stocks, de coordonner les commandes, de gérer les pénuries et substitutions, de maintenir des rapports critiques et de collaborer étroitement avec les partenaires internes et externes. Le rôle requiert un sens aigu des priorités, de la rigueur et un excellent jugement opérationnel.
Responsabilités principales
Gestion des approvisionnements
- Assurer la mise à jour quotidienne des niveaux d’inventaire pour les produits sous contrat ou sous allocation.
- Coordonner et traiter les commandes régulières et urgentes en collaboration avec les manufacturiers et les équipes internes
- Suivre les commandes, les avis d’expédition et les dates de livraison pour les différents centres
- Coordonner les transferts inter-entrepôts lorsque requis.
Gestion des pénuries et substitutions
- Appliquer, ajuster et retirer les allocations de produits en fonction des directives institutionnelles et des disponibilités des stocks.
- Coordonner les ententes de substitutions de produits et assurer une communication claire avec les parties prenantes.
- Collaborer avec les pharmaciens-conseils pour la gestion et le suivi des pénuries en milieu hospitalier.
Production et mise à jour de rapports
- Participer à la consolidation d’information pour des rapports destinés aux partenaires externes et aux équipes internes.
- Maintenir la qualité, l’exactitude et la cohérence des données dans les différents outils et fichiers.
Collaboration interne et externe
- Agir comme point de contact privilégié pour les établissements hospitaliers, les pharmaciens-conseils, les fournisseurs et les équipes internes.
- Travailler en étroite collaboration avec les équipes des opérations, des ventes, des approvisionnements et les partenaires gouvernementaux.
- Participer aux rencontres internes de suivi, aux alignements opérationnels hebdomadaires ainsi qu’aux communications transversales.
Service client institutionnel
- Répondre rapidement et efficacement aux demandes des hôpitaux concernant les inventaires, allocations, substitutions ou urgences opérationnelles.
- Assurer une communication professionnelle et proactive dans un contexte parfois critique, notamment en cas de rupture ou d’enjeux logistiques.
Compétences recherchées
Compétences techniques
- Excellente maîtrise d’Excel (tableaux complexes, nettoyage de données, automatisations de fichiers).
- Très bonne compréhension de la chaîne d’approvisionnement pharmaceutique, idéalement en contexte hospitalier.
- Connaissance ou capacité à apprendre rapidement les systèmes internes (logiciels d’inventaire, plateformes de gestion des commandes, Power BI).
- Capacité à gérer de multiples priorités dans un environnement à haut volume et à forte pression.
Compétences professionnelles
- Grande rigueur, souci du détail et sens aigu de l’organisation.
- Excellentes habiletés de communication, tant écrite que verbale.

Exigences

Position Summary
The person in this role plays a key part in maintaining continuity of supply operations for Quebec hospital and institutional clients. They are responsible for rigorous inventory follow-up, order coordination, shortage and substitution management, maintenance of critical reports, and close collaboration with internal and external partners. The role requires strong prioritization skills, rigor, and excellent operational judgment.
Key Responsibilities
Supply Management
- Ensure the daily update of inventory levels for contracted or allocated products.
- Coordinate and process regular and urgent orders in collaboration with manufacturers and internal teams.
- Track orders, shipping notices, and delivery dates for the various centers.
- Coordinate inter‑warehouse transfers when required.
Shortage and Substitution Management
- Apply, adjust, and remove product allocations based on institutional guidelines and stock availability.
- Coordinate product substitution agreements and ensure clear communication with stakeholders.
- Collaborate with pharmacy advisors for the management and follow‑up of hospital shortages.
Reporting and Data Maintenance
- Participate in consolidating information for reports intended for external partners and internal teams.
- Maintain data quality, accuracy, and consistency across tools and files.
Internal and External Collaboration
- Act as a primary point of contact for hospitals, pharmacy advisors, suppliers, and internal teams.
- Work closely with operations, sales, procurement, and government partners.
- Participate in internal follow‑up meetings, weekly operational alignments, and cross‑functional communications.
Institutional Customer Service
- Respond quickly and effectively to hospital requests regarding inventory, allocations, substitutions, or operational emergencies.
- Ensure professional and proactive communication in sometimes critical contexts, particularly during shortages or logistical issues.
Required Skills
Technical Skills
- Excellent command of Excel (complex tables, data cleaning, file automation).
- Strong understanding of the pharmaceutical supply chain, ideally in a hospital context.
- Knowledge of or ability to quickly learn internal systems (inventory software, order management platforms, Power BI).
